Initiator Considerations for Pulling Students from Class for Hazel Teletherapy Visits
Schools are free to customize their approach to pulling students from class to attend visits.
When determining their approach, schools should consider:
- How are students typically retrieved from class when leaving early, going to speech etc.?
- Is a classroom phone or other means of notifying teachers in real time in place already?
- How can scheduling students at the same time on the same day of the week simplify the initiator’s process?
- Where possible, should visits be scheduled to coincide with the transition between class periods?
- Can students be expected to walk to the teletherapy visit site independently or should they be accompanied?
- Will students need hall passes (at the beginning of the day?) to commute to their sessions?
Recognizing that every school operates differently, Hazel recommends only that schools leverage the protocols they already have in place for pulling students out of class if/where appropriate. See sample models below.
Sample Model #1 (best for schools with a classroom phone setup):
- Initiator checks daily schedule first thing in the morning / reviews daily appointment reminder email
- 5-10 minutes before session time, the initiator calls the classroom phone, and requests student to come to office with backpack
- Initiator greets student at office/area and gets student settled
- Initiator starts session, keeping tabs on any messages that come to them during the session
- If there is no indication that the student needs support from the initiator before returning to class, the student heads back to class unaccompanied
Sample Model #2 (best for smaller schools with younger students):
- Initiator checks daily schedule first thing in the morning / reviews daily appointment reminder email
- 5-10 minutes before session time, the initiator heads to the classroom to knock on the door and collects the student with backpack
- Initiators walks the student to the teletherapy office/area and gets student settled
- Initiator starts session, keeping tabs on any messages that come to them during the session
- Initiator walks with student to next class
Sample Model #3 (best for schools with older, more self sufficient students):
- Initiator checks daily schedule first thing in the morning / reviews daily appointment reminder email
- Students check in with initiator at the beginning of the day and collect a hall pass for their session later on
- Sessions are scheduled to coincide with the transitions between class periods, so the student heads to the teletherapy office/area instead of going to their next class
- Initiator greets student at teletherapy office/area and gets student settled
- Initiator starts session, keeping tabs on any messages that come to them during the session
- If there is no indication that the student needs support from the initiator before returning to class, the student heads back to class unaccompanied
- If the student is absent or unavailable, the initiator messages the counselor in the app or on desktop
- Technical updates are in progress to send automated reminders to initiators 10-15 minutes before a session
